Making Employees Happy: Improving EMC Medical Center's Intranet

We have designed a website for the clinic, which main goal is to preserve the health and longevity of its clients

EMС is a premium medical center. The company has about 2,000 employees


We launched a completely updated version of the company website in 2020. Later, we began constructing the corporate intranet. We created a visual language that matches the language of the primary website, added virtual assistants, employee training, a useful task-tracking panel, updated the news feed, and made the portal mobile-friendly.

Project Objective

We needed to update the corporate portal making it more convenient, accessible, and prettier, and improve existing functions. Here are three important challenges we needed to address:

  • Personalize the content so that each employee can see their tasks and applications as well as checklists, guides, helpful resources, and training that they might require while working;
  • Create a mobile version so that staff members could manage their requests, sign up for training, and learn company news even without a computer nearby;
  • Redesign: The company's updated external website, which supports the brand's commitment, had to be extended to the portal.

Personalized Content

The information on the portal differentiates between "medical employee"/"non-medical employee" user types. In addition to this, the main profile displays the information that the user needs in the first place.

The portal is a single entry point for all systems. It is interconnected with all the necessary platforms. Whatever the employee needs, it's the first place they will go.


The portal has two distinct visual sections: The employee's personal profile, which includes all the services they require, takes up two thirds of the available space. The remaining one third is occupied by sections unrelated to business operations.

Portal Functionality

The portal performs two functions: service and information. The service function is further divided into two parts:


1. The Portal displays a portion of the business processes, and employees use the service to carry out their job duties.


2. A service for employees' comfort, where they can order references in the HR or Payroll Departments, as well as send out applications for meals, attachment to the Non-Financial Incentive Program, etc.

Task Management

This section displays important organizational tasks for employees, such as familiarizing oneself with the new corporate regulations or coordinating vacation dates. There is a light on the employee's profile that turns red if the deadline for the task has passed.

In-house request service

In this section, the employee can leave a request for the development of information systems, for the initiation of the project, for the selection of a specialist in his team.


The service is equally important for employees. Here, they can order a 2-NDFL certificate, order a courier, book a company car, as well as leave a request for lunch or equipment repairs.

Signing up for online and offline training

We've redesigned the educational block and systematized the knowledge base. Now, a single screen includes allowing employees to see the calendar of the EMS Medical School events, sign up for a training session or take an online course.

Onboarding with a personal assistant

For the first few weeks, the system will guide new users to demonstrate to them how to use the portal and create tasks correctly.


The onboarding page corresponds with the style of the main site and its key attribute — the interactive sphere.

About a third of the portal screen is taken up by a block dedicated to corporate matters. It contains information that helps employees navigate the inner workings of the company:

  • Colleagues' birthdays;
  • Info about newcomers;
  • The Life Balance section with corporate offers on fitness, foreign language learning, etc.;
  • Chats with gratitude from patients or colleagues;
  • Newsfeed.

Newsfeed

The feed displays current news, where users learn about changes in the company, important events, etc. Any employee can suggest news and search for what they need using tags.

Using a special form on the portal, employees can write directly to the CEO or tell the management about their ideas that could improve business processes at the company.

Our designers have developed templates for banners that HR and PR managers can use to illustrate portal news without involving other departments. We've also formed an instruction and described why some photos can be added to the portal, while others are undesirable.

In order to integrate the customer team easily, we developed the updated portal using Microsoft SharePoint (.NET), as the old portal ran on this stack, too.


By integrating with 1C, we were able to quickly receive and process the following information:

  • employees (adding new doctors or changing their data);
  • technical lists for personnel applications;
  • tasks and their execution;
  • privileges.

Together with EMC developers, we established a collaborative workflow using the Git version control system. We were able to develop the portal in 3 months, which is thanks to competent planning.

Development problems

1. Request receipt scenarios


We've simplified the process of getting requests to employees. To do this, we've set up access rights so that when a specialist is absent, the request is forwarded to their colleague.


2. Modifying SharePoint


The EMС platform editor didn't allow new rendered blocks to be placed without layout knowledge. That's why we've integrated a prebuilt block embedding feature into SharePoint to make things faster and easier."

Our first joint project with EMC was to update the medical center's main website. The corporate portal is our second project together. The redesign of the corporate portal only took four months because all processes had already been thoroughly tested. The development, in turn, took three.
